This role is a key support position working closely with the department Heads across multiple projects. It is suited to someone highly organised, detail-oriented, and comfortable managing a high volume of administrative and coordination tasks in a fast-paced environment.

The successful candidate will play an essential role in ensuring the smooth planning and delivery of events, primarily from the office, by maintaining accurate information, supporting communication across teams, and keeping processes on track.

This is an in-person role based in our Nicosia office.

Key Responsibilities

  • Maintaining and continuously updating internal databases.

  • Ensuring all records are accurate and up to date at all times.

  • Tracking payments and coordinating with the finance team where needed.

  • Process purchase orders and payments, and coordinate travel arrangements for on-site teams.

  • Updating and maintaining core reports on a daily basis.

  • Ensuring all event documentation is current and complete.

  • Acting as a central point of coordination in the department Heads’ absence.

  • Managing incoming calls and emails.

  • Supporting communication between the office and on-site teams.

  • Processing offers from hotels.

  • Analysing offers and creating cost reports.

  • Processing contracts.

 

Qualifications

  • Highly organised with strong attention to detail.

  • Able to recognize how document updates affect workflows and outcomes.

  • Comfortable working in a fast-paced, deadline-driven environment.

  • Proactive and able to manage multiple tasks simultaneously.

  • A strong communicator and possesses coordination skills.

  • A team player who takes pride in supporting others and ensuring things run smoothly.

  • Use Excel confidently to manage data, reports, and analysis.
